How to Organise and Track Your Job Applications

Job searching can become difficult to manage when applications, interviews, deadlines, and employer messages begin to overlap. A simple tracking system can reduce stress, prevent missed deadlines, and help you stay organised.

You can use a spreadsheet, notebook, document, calendar, or digital task board. Choose a method that is easy for you to update and review.

For each opportunity, record the following information:

Job title.
Organisation.
Location.
Application link.
Closing date.
Date submitted.
Contact person.
Documents used.
Interview date.
Current status.
Next action.

Use simple status labels such as:

Preparing.
Applied.
Assessment.
Interview.
Waiting for response.
Unsuccessful.
Offer received.
Withdrawn.

Save a copy of every job description because online advertisements may be removed after the closing date. You may need the original description when preparing for an interview.

Also save the version of your CV, cover letter, or application form used for each position. This helps you remember what information the employer received and allows you to prepare more effectively if you are invited to the next stage.

Add reminders for important actions, including submission deadlines, assessments, interviews, follow-up messages, and requested documents. Avoid depending entirely on memory, especially when managing several applications.

Review your application tracker regularly. A short review once or twice each week can help you identify upcoming deadlines and decide which opportunities need attention.

You can also use the tracker to identify patterns. For example, you may notice that applications for certain roles receive more responses, or that a revised CV performs better than an older version.

Remember to record progress, not only unsuccessful outcomes. Completing an application, improving your CV, attending an interview, or receiving useful feedback are all meaningful steps.

Tracking your applications creates a more predictable and manageable job-search routine. It helps you stay focused, make informed decisions, and maintain a clear view of your progress.
